Payment Collection

Collect society payments before tee-off — not after.

Create an event, share a link, and let players pay by card. See who's paid in real time. No spreadsheets, no bank transfers, no chasing.

  • Shareable payment link — drop it in the WhatsApp group and let players self-serve
  • Real-time status page — the organiser sees exactly who's paid and who hasn't
  • Required and optional items — green fee locked in, dinner and buggies optional
  • Capacity limits — set a max headcount and the system enforces it
  • Stripe Checkout — PCI compliant, players pay by card, money hits your account directly
  • GDPR compliant — separate consent for data processing and marketing, with full audit trail

The average society organiser spends 3–4 hours chasing payments for a single event

Bank transfers trickle in over weeks. Some people forget. The organiser chases via WhatsApp. Cash gets handed over in the car park. Nobody knows the final headcount until the morning of the event. The club gets paid late, or short.

Payment Collection turns that into a 2-minute job: create an event, share a link, done. Players pay by card in 30 seconds. The organiser sees who's paid in real time. No spreadsheets. No awkward reminders. No brown envelopes.

How it works

For your club

1

Create an event — name, date, shotgun start, max players, notes

2

Build the menu — add items by category (Golf, Food & Drink, On Course, Extras), set prices, mark required items

3

Go live — switch from Draft to Live when ready

4

Share the link — copy the payment URL, send to organisers or players

5

Track payments — real-time dashboard showing collected amount, paid/pending players

6

Export data — download a CSV of all payments with player details, items, and consent status

7

Close when done — stops new payments. Reopen any time if needed.

For each player

1

Open the link — see event details, date, and available items

2

Select items — required items pre-selected, optional items togglable, prices shown

3

Enter name, email, phone (optional), and handicap (optional)

4

Consent — GDPR data processing (required) and marketing opt-in (optional)

5

Pay by card via Stripe Checkout — takes 30 seconds

6

Receive a confirmation email with their full booking summary

What's included

Event lifecycle management

Draft → Live → Closed → Reopen. Preview mode in draft, pulsing status indicators, close with confirmation. Full control at every stage.

Flexible menu builder

5 item categories: Golf, Food & Drink, On Course, Accommodation, Extras. Required items lock in, optional items player-selectable. Unlimited items per event.

Capacity management

Set a max headcount. Enforced at checkout — returns 'event is full' when reached. Progress bar shown on payment page and status page.

Stripe Checkout

Per-club Stripe account. PCI compliant — no card data touches your server. Money goes directly to your account via Stripe webhooks.

Organiser status page

Public page, no login required. Real-time totals, paid/pending player list, copy and share buttons. Mobile-first — works in WhatsApp browser.

CSV data export

Download a full payment report: Name, Email, Handicap, Items, Amount, Status, Marketing Consent, Date. Ready for your records.

GDPR compliant

Separate data processing consent and marketing opt-in, both tracked with timestamps. Anonymisation support for deletion requests.

CRM integration

Auto-sync contacts to GoHighLevel on payment success (if marketing consent given). Generic webhook for HubSpot, Zapier, Make, or Mailchimp.

The organiser does the work. You get the money.

Once you share the payment link, the organiser takes it from there. They drop it in the group chat, chase their own stragglers with the live status page, and you watch the payments come in.

No more collecting card details over the phone. No more reconciling bank transfers against a spreadsheet. No more finding out on the morning that three people haven't paid.
